Step 1 of 3

Get a void confirmation from the hotel

You need the hotel to send you a short email or letter confirming they will not collect the funds. This is called a void letter or merchant void confirmation. It's the key that unlocks your money.

Why this works

Banks hold your money because the merchant might collect it. Once the merchant says "we won't charge this person," the bank has no reason to hold the funds. The void letter is proof.

Choose your approach:

Option A: Phone Call
📞 Hotel Front Desk Script
Hi, my name is [Your Name]. I had a reservation at your hotel under confirmation number [Confirmation #]. The reservation was canceled / I didn't check in, but there's still an authorization hold on my card ending in [Last 4 digits]. I'm calling to request a void confirmation letter — a short email confirming that the hold has been released and no charges will be collected. Can you email that to [Your Email]? My bank needs this letter to release the funds immediately. Otherwise I'm told to wait 7-10 business days, and I need the money available now. Thank you — I really appreciate your help with this.
Pro tip

If the front desk says they can't do it, ask: "Can I speak with your billing department or a manager?" Every hotel has the ability to send a void letter — some front desk agents just don't know the process.

Generate Your Void Request Email

Fill in your details and we'll generate a ready-to-send email requesting the merchant void letter.

Don't skip this step

Without the void letter, your bank will tell you to wait 7-10 days. With it, they can release funds in minutes. The void letter is the entire shortcut.

  • Called or emailed the hotel requesting a void confirmation
  • Received the void letter/email from the hotel

Step 2 of 3

Forward the void letter to your bank

Now that you have the hotel's void confirmation, you need to get it to your bank. You have two options: call them or forward the email. Calling is faster.

Option A: Call Your Bank (Fastest)
📞 Bank Customer Service Script
Hi, I'm calling about an authorization hold on my account. I have a pending hold from [Hotel Name] for approximately [Amount] on my card ending in [Last 4]. The merchant has confirmed they will NOT be collecting on this authorization. I have a void confirmation letter from them. I'd like to have this hold released immediately. Can you do that while I'm on the line? [If they say they need to see the letter:] Sure, I can forward it right now. What email address or fax number should I send it to? [If they say they can't release it:] I understand that's the standard process, but Regulation E and your own merchant processing guidelines allow you to release authorization holds when the merchant has confirmed a void. Can I speak with a supervisor or your disputes department? [Send the void letter while on the phone. Stay on the line until they confirm the hold is being released.]
Key phrase that works

If the first agent says no, use this: "I have written confirmation from the merchant that this authorization has been voided. Per Regulation E guidelines, can a supervisor review this for expedited release?" This tells them you know the rules.

✉ Bank Email/Message Script
Subject: Request to Release Authorization Hold — Merchant Void Confirmation Attached Hello, I have an authorization hold on my account from [Hotel Name] for approximately [Amount] on my card ending in [Last 4]. The merchant has confirmed they will NOT collect on this authorization. I have attached/forwarded their void confirmation letter below. Please release this hold as soon as possible so the funds are returned to my available balance. If you need any additional information, please contact me at [Your Phone] or [Your Email]. Thank you, [Your Name] --- Forwarded merchant void confirmation below ---
What happens next

In most cases, the bank agent can release the hold while you're on the phone. For email/secure message requests, expect 1-2 business days. Either way — much faster than the standard 7-10 day wait.

  • Called or emailed bank with the void letter
  • Bank confirmed they received the merchant void
Step 3 of 3

Confirm the funds are released

Almost done. Check your account to confirm the hold has been lifted and your available balance is restored.

Timeline expectations

Phone call method: Funds typically available within minutes to a few hours.
Email/message method: Usually 1-2 business days.
Without HoldBreak: 7-10 business days (sometimes longer).

If the hold hasn't been released yet:

📞 Follow-Up Call Script
Hi, I called earlier about releasing an authorization hold from [Hotel Name]. I provided a void confirmation letter from the merchant, and I was told the hold would be released. It's been [Hours/Days] and the funds still aren't available. Can you check the status of this release? My reference/case number from the previous call is [Reference #, if given]. I need these funds available as soon as possible. Is there a supervisor who can expedite this?
If your bank refuses to release the hold

Some banks are stubborn. If they won't release it even with the merchant void letter, you have options:

1. Ask for a supervisor — first-line agents often don't have the authority
2. File a complaint with the CFPB — go to consumerfinance.gov/complaint. Banks take CFPB complaints seriously and respond within days
3. Switch banks — some banks (especially large credit unions and online banks) are much better about releasing holds quickly

  • Checked account balance — hold is released
  • Funds are back in available balance
🎉

Money recovered. Well done.

You just saved yourself 7-10 days of waiting. The process that banks and hotels don't want you to know — now you know it.
